Work hours settings in a location

On the "Work hours" tab you determine how Proplanum counts overtime and night work at a given location. These settings decide when an employee's hours start being counted as overtime (ordinary and double), how the night supplement is calculated and which hours the night period falls in. That keeps work time settlement consistent with the rules that apply at that site.


Remember: The time tracking (RCP) settings — early start, GPS, rounding, automatic approval — have been moved to a separate tab. They are described in [Work time tracking (RCP) settings](Work time tracking (RCP) settings).


The settings are available to the Organisation Administrator, Advisor and Location Manager roles.


Opening the Work hours tab


  1. From the top bar go to the "Locations" tab.
  2. On the chosen location click the pencil icon ("Edit location") in the row (or the three-dot menu).
  3. From the menu on the left choose "Work hours".

Overtime


In this part you set the thresholds after which an employee's hours are counted as overtime — daily and weekly.


  • Count overtime daily — turn this on to accrue overtime once the daily hour threshold is exceeded. In the "Number of hours" field set the threshold (8 h by default) — once that many hours have been worked in a day, the following ones are counted as overtime. The threshold field is active only when the switch is on.
  • Count double overtime daily — turn this on to set a second, higher daily threshold. Once it is exceeded, overtime is counted double. Give the threshold in the "Number of hours" field (it has to be higher than the daily overtime threshold). Off by default.
  • Count overtime weekly — turn this on to accrue overtime above the employee's weekly norm (reduced by holidays). The excess is counted as double overtime (a 100% supplement). Only standard hours are taken into account — excluding daily overtime, night hours and work on Sundays and holidays. Off by default.


For weekly overtime you do not set an hour threshold — the employee's norm is the threshold. The rule applies to employees for whom this location is the main one, and adds up hours from all their locations. It works from the next entries added or edited.


Caution: Turning "Count overtime weekly" on brings up a warning window with the accrual rules. Confirm with the "I understand, turn it on" button or back out with "Cancel" — the switch then returns to off.


The night supplement


The supplement for night work is 20% and is fixed. On this tab you only choose the base it is calculated from.


  • Night supplement based on the minimum wage — when the switch is on, the supplement is calculated from the minimum wage. When off — from the employee's hourly rate.


The night period


Here you determine which hours the night period falls in — it is what decides which working hours the night supplement covers.


  • Night time start — the hour the night period starts, chosen from a list of whole hours (from 20:00 to midnight).
  • Night time end — the hour the night period ends, chosen from a list of whole hours (from 4:00 to 8:00).


By default the night period runs 22:00–06:00. When choosing the end hour you can see the length of the whole night window.

Important: Once you have made your changes click "Save". Without saving, the overtime and night period settings will not be applied at this location.
