Managing positions and tags in locations

Positions and tags decide who you can schedule at a given location and in what role. On the "Positions and tags" tab for a chosen location you turn on the available positions, decide whether they count towards settlement, and organise the work with tags. These settings are adjusted by the Organisation Administrator, the Advisor and the Location Manager.


You may already have assigned some positions and tags when creating the location — see Creating and managing locations. Here you will learn how to manage them in a location that already exists.


Opening the tab


  1. Go to the "Locations" tab in the top bar.
  2. On the chosen location click the pencil icon ("Edit location") in the row (or the ⋮ menu).
  3. From the menu on the left choose "Positions and tags".

You will see two sections: "Positions" and "Tags". Above each list there is a search field with which you can quickly filter an item by name.


The position columns


The position table shows the name, the colour and three settings you control at this location.


  • Billable — a click toggles the value Yes/No (with an icon). Set to Yes, shifts in this position are counted towards settlement and pay at this location.
  • Default — an informational column (read-only), showing Yes/No with an icon. Yes means the position is assigned automatically to every employee at this location.
  • Visibility — a slider. On = the position is available to assign to employees and visible in this location's schedule.

Important: A position starts working in the schedule only once you set Visibility to on. If you cannot see a new position, check that switch — more in I have a new position — why can't I see it in the location?.


Adding a position


  1. In the "Positions" section click "Add position".
  2. Enter the "Name" and choose a colour from the palette (the colour marks the position in the schedule).
  3. Tick "Counts towards work time" if shifts in this position are to be counted towards settlement and pay.
  4. Click "Add".

Remember: A new position goes to the whole organisation, but is immediately visible only in the current location. In the other locations you turn it on with the Visibility switch.


Adding a tag


Tags help organise and describe the work at a location.


  1. In the "Tags" section click "Add tag".
  2. Enter the tag's "Name".
  3. Click "Add".


Saving changes


After changing Billable or Visibility an action bar appears at the bottom. Click "Save" to keep the settings, or "Undo changes" to discard them. Until you save, the search and the pagination of the lists are inactive. Adding a position or a tag is saved immediately once you click "Add".


Caution: You can add and configure positions and tags here, but they can only be deleted in Company settings (as an Organisation Administrator) — see Assigning positions and tags.
