Correcting and approving work time

As a supervisor you decide which recorded work time entries go into settlement. You can approve them, reject them, mark them as pending, align them to the plan, and correct them when needed — for example when an employee forgets to record a shift, or when there are deviations from the schedule (lateness, an early finish). That gives you full control over how well the records match the plan.


If you are just starting with the time tracking module, look first at Work time records – getting started. Below we show how to approve, reject and correct your team's entries.


Remember: Entries can be approved, rejected, marked as pending and aligned to the plan by: the Manager, the Location Manager, the Advisor and the Organisation Administrator. Correcting (editing) entries is done by the Manager, the Location Manager and the Organisation Administrator. An Employee does not edit entries.


Approving and rejecting entries in the browser


From the records view in the browser you approve or reject entries either individually or in bulk.


  1. From the top bar choose "RCP System" and then "Records" to go to the detailed list of your team's work time entries.
  2. Use the filters above the table — date range, locations, employees or statuses. You can switch the view between a monthly, weekly and daily layout.
  3. To perform a bulk action, tick the entries you want and use the button in the top bar.

  • "Approve" — approves the selected entries. They get the Approved status and are counted when work time is settled.
  • "Reject" — the entry gets the Rejected status and is not counted in the employee's settlement.
  • "Pending" — the entry goes back to the Pending status and waits for your decision.
  • "Align to planned" — the actual time of the selected entries is corrected to the time planned in the schedule.


Important: Only Approved entries count towards summaries and exports. Entries with the Rejected and Pending statuses are not included in the work time total.


  1. You handle a single entry with the buttons on the right-hand side of the row: the green "Approve" confirms the entry, the red "Reject" rejects it. "Edit" opens the entry for correction, and the menu (three dots) holds further options: "Mark absence", "History", "Details" and "Finish".

  1. After the action the entry's status is updated in the list.


  • Approved — the entry counts towards work time settlement.
  • Pending — the entry is waiting for your decision; it does not count towards settlement. Entries of unplanned work time (outside the schedule) always arrive as Pending and require your approval or rejection.
  • Rejected — the entry has been rejected and does not count towards the records.
  • Absence — the employee had a shift scheduled but did not turn up for it.
  • In progress — the shift is currently under way (time is still being recorded).

In the mobile app you also have insight into the team's records — as a Manager, a Location Manager or an Organisation Administrator. Here you can approve and reject entries; corrections (editing) are made in the browser.

  1. Choose the "Schedule" icon from the menu and then the "Time registration" tab to see the full work time records for the chosen days.

  1. Once you pick a particular entry, a new window shows its details and lets you change its status.

Tip: If you want entries to be approved automatically once they fall within a given deviation from the plan, configure automatic approval in the location settings — see Work time tracking (RCP) settings.


Correcting recorded work time


A correction lets you fix the actual work time of an entry when it differs from what really happened. You do it in the browser only.


  1. From the top bar choose "RCP System" and then "Records" to go to the list of your team's entries.
  2. Use the filters above the table (date range, locations, employees, statuses) and find the entry to fix.
  3. On the chosen entry click the "Edit" button on the right-hand side of the row to open the correction window.
  4. In the edit window you will see a summary of the shift on the left, the entry status in the top right corner, and in the main view the work time details: start and end, planned and actual time, and break time.
  5. Enter the correction to the actual work time.


Remember: You can move the time within the adjacent day (a day earlier or later) and change the hour — choose the right values from the calendar.


  1. Once you have made the changes click "Save".


Caution: You can only correct entries with the Pending or Approved status. Entries with the Rejected status cannot be edited — the details are in Why can't I edit a time entry with the "Rejected" status?.
