Types of time tracking

Proplanum gives employees several ways to record work time — from the mobile app, through a KIOSK terminal with a fingerprint, card, QR code or PIN, to recording on an employee's behalf in a browser. Below you will find an overview of the available methods and a short set of instructions for each, so you can choose the one that suits your company.


Work time tracking settings are configured by users with the Organisation Administrator, Location Manager and Advisor roles. More guidance is in "Work hours settings in a location".


Remember: You configure time tracking separately for each location — it applies to every employee at that location. The details are described in dedicated articles:* "Setting work hours tolerance"* "Recording breaks"* "Overtime settings"* "Work time alerts"


Ways of recording work time


  1. The mobile app — after signing in the employee starts and ends work and records breaks (paid and unpaid) with a few taps.
  2. A Proplanum KIOSK terminal — if your company has set up KIOSK, the employee confirms their identity in four ways: with a PIN code, a QR code, a contactless card or a fingerprint.
  3. A web browser (on an employee's behalf) — a user with the Organisation Administrator or Location Manager role can start an employee's time tracking from the records.

Remember: To be sure that employees start and end work at the company and not somewhere else, you can turn on GPS location verification at the start and end of a shift for the location. More information is in "Time tracking and GPS location".


How does an employee record their work time?


  1. Sign in to the account through the mobile app.
  2. The time tracking panel is in the upper part of the "Dashboard" tab. The screen is visible immediately after signing in to the app.

  1. To start the shift, tap the "Start shift" button. The clock will start recording work time, and as a supervisor you will see the information about the started shift in your own mobile app or in your account in the browser.
  2. Once the shift is over the employee taps the "Stop time" button. The information about the finished work will be visible both in the employee's and in the supervisor's app.

If your company has set up work time tracking through KIOSK, employees can use it when starting and ending a shift.


  1. Walk up to the terminal and choose a method: put your finger on the reader, hold up your card, show the QR code from the app or type in your PIN code.

  1. The available options appear on the screen. The employee chooses whether to start or to end the shift.

Tip: If an employee does not remember their PIN code, they can check it in their account on the "My profile" tab — both on the phone and in a browser.


Caution: If you have to change an employee's KIOSK PIN code, you can generate a new one. How to do it is described in "Configuring an employee's schedule, time tracking and group settings".


Recording work time by a Location Manager and a Manager


Users with the Location Manager and Manager roles can also record their own work time — in exactly the same way as employees. In the mobile app you simply switch the active profile from Location Manager or Manager to the Employee profile.


  1. After signing in to the app, tap the icon in the top left corner to go to your profile.

  1. The "Current profile" field shows which role you are currently signed in as.

  1. Tap the field and choose the Employee role in the new window.

  1. Go from the dashboard to the tab in the top left corner and then to My profile.

  1. There you will see the information about your profile, including your QR code and your PIN code.
