Work time records – getting started
In Proplanum you track and manage the whole team's work time in one place — in the RCP System. Employees record their hours in various ways, and you monitor the entries, correct them and export them to payroll. This article shows how to find your way around the records: where to go, what the columns and statuses mean, and how to filter the data.
The article is intended for managers — the Manager, the Location Manager and the Organisation Administrator, who supervise and settle the team's work time.
Entering the records
The records are the main view where you see all the recorded work time entries for a chosen period.
- Sign in through a browser — the application's main dashboard appears.
- From the top bar choose "RCP System" and then "Records".
- The main window shows the list of entries for the given date range.

Filtering and the summary
Above the list you will find the filter bar. You can quickly narrow entries down to a chosen date range, particular employees, locations and status.
At the top of the tool you will see the summary for the period: total hours, absence time, overtime and costs.

Table columns
Every row of the records describes one work time entry. The table contains the columns:
- Name — the employee the entry concerns.
- Date — the day the work time was recorded.
- Position — the position the employee worked in that day (you can assign more than one to an employee — see [Configuring an employee's schedule, time tracking and group settings](Konfigurowanie ustawień grafiku, RCP i grupy pracownika)).
- Location — where it was recorded:
- Confirmed — matching the company's location and the set GPS range,
- None — no location was determined,
- Other — a location other than the company's.
- Work time — planned and actual work time. No planned time means an unassigned shift, recorded outside the schedule.
- Time notes — the differences between the plan and what happened: lateness, early finishes, additional hours.

Entry statuses
The status says whether an entry is ready for settlement. An entry can have the status:
- Approved — accepted by an authorised user or automatically by the system when it matches the plan.
- Pending — waiting for a manager's decision.
- Rejected — rejected by an authorised user.
- Absence — a marked absence from a shift.
- In progress — the shift is under way (the employee is working right now).
Actions on entries
You handle entries individually or in bulk. Once rows are ticked, the top bar offers the bulk actions: "Approve", "Reject", "Pending" and "Align to planned". In a single row you have the Approve (green) and Reject (red) buttons, Edit, and a menu (three dots) with the options "Mark absence", "History", "Details" and "Finish".
You correct an entry (editing the actual work time, breaks, status) in the edit window. The full instructions for approving, rejecting and correcting are in [Correcting and approving work time](Correcting and approving work time).

Starting a shift on an employee's behalf
If an employee did not clock in themselves, you can start their work time manually. The "Start shift" button is in the top right corner of the records. In the window you point to the location, the employee, an optional PIN and the time. When the employee has no shift planned, a second step appears with the choice of position (an unassigned shift).
The RCP system in the mobile app
In the mobile app you also have insight into your employees' time tracking — as a Manager, a Location Manager or an Organisation Administrator.
After signing in, the main dashboard shows a summary of the team's records, including the number of people present, absent and late.

Choose the "Schedule" icon from the menu and then go to the "Time registration" tab to see the employees' full work time records for the chosen days.

You filter the data by tapping the button in the top right corner.

Once you pick a particular entry, a new window shows its details and lets you change the status.
