Overtime settings

In Proplanum you set when overtime and the night work supplement start to accrue — separately for each location. That way time worked above the agreed thresholds is recorded correctly in the records and exports, and you have better control over staff costs. The settings are configured by the Organisation Administrator, the Advisor and the Location Manager.


Remember: You set overtime and night time thresholds separately for each location — different values can apply at different locations.


Configuring overtime at a location


The overtime settings are in the location editor, on the "Work hours" tab.


  1. Go to the "Locations" tab.
  2. Click the name of the location you want to edit to open its settings.

  1. From the list of tabs on the left choose "Work hours".
  2. Find the "Overtime and night time" section and set the individual thresholds.

  • "Count overtime daily" — enter the number of hours after which overtime starts to accrue during the day. For example 8 means overtime counts after 8 hours worked in a given day.
  • "Count double overtime daily" — enter the number of hours after which overtime is counted double. For example 10 means double overtime accrues after 10 hours of work in a day.
  • "Night supplement based on the minimum wage" — turn this on so that employees receive a supplement for night work amounting to 20% of the hourly rate derived from the statutory minimum wage.
  • "Count overtime weekly" — enter the number of hours worked in a week after which overtime accrues. For example 40 means overtime counts once 40 hours in a week are exceeded.
  • "Night time" — set the start and end hours of the night period.


Caution: Overtime thresholds are counted from the time approved in the records. Entries with the "Pending" and "Rejected" statuses do not count towards summaries or exports.


Where you see accrued overtime


Accrued overtime and night time are visible in the top bar under "RCP System""Records" (the "Work time" column: planned versus actual) and in the exports. The data is viewed and settled by the Organisation Administrator, the Location Manager and the Advisor.


Tip: On the planning side, breaks are controlled separately — see Recording breaks. The other record thresholds are set in Work time tolerance and rounding.
