Overtime settings
In Proplanum you set when overtime and the supplement for night work start being accrued — separately for each location. Thanks to that the time worked above the agreed thresholds is recorded correctly in the register and the exports, and you have better control over staff costs. The settings are configured by the Organisation Administrator, the Advisor and the Location Manager.
Configuring overtime at a location
The overtime settings are in the location editor, on the "Working hours" tab.
- Go to the "Locations" tab.
- Click the name of the location you want to edit to open its settings.

- From the list of tabs on the left choose "Working hours".
- Find the "Overtime" section and set the individual thresholds. The night period hours are further down, in a separate "Night time" section.

The fields of the "Overtime" section
- "Calculate daily overtime" — give the number of hours after which overtime starts being accrued during a day. A value of
8, for instance, means overtime counts once 8 hours have been worked that day. - "Calculate double overtime daily" — give the number of hours after which overtime is counted double. A value of
10, for instance, means double overtime accrues after 10 hours of work in a day. - "Count entries outside the schedule as overtime" — a time entry with no planned shift becomes overtime the moment it ends, with no manual step. It applies to employment contracts only and requires time recording outside the shift to be switched on.
- "Automatic overtime balancing" — overtime covers the hours missing from the plan 1:1, without the premium, within the organisation's overtime claim window.
- "Overtime settlement period" — decides about overtime above the weekly norm: Weekly (separately for each week, without the equivalent system), Settlement period (together at the end of the period from the planning settings, for everyone) or Disabled.
The fields of the "Night time" section
- "Start of the night shift" and "End of the night shift" — the hours during which the night period applies.
- "Night bonus based on minimum wage" — tick this for the 20% supplement to be calculated from the minimum wage; cleared, it is calculated from the employee's hourly rate.
Where you see the accrued overtime
Accrued overtime and night time are visible in the top bar under "RCP System" → "Records" (the "Work time" column: planned versus actual) and in the exports. The data is viewed and settled by the Organisation Administrator, the Location Manager and the Advisor.
