Why can’t I edit a time entry with the “Rejected” status?

Entries with the Rejected status cannot be edited directly — a deliberate safeguard so that rejected work times do not change by accident. If you want to fix such an entry, first bring it back for editing by giving it the Pending status, then correct it and approve it.

Caution: Entries in the records are only corrected by managers — the Manager, the Location Manager and the Organisation Administrator. An Employee does not edit any entries. If you have the permissions and still cannot edit an entry, check its status.

Bringing an entry back for editing

Move the rejected entry back to pending first — that unlocks it for correction.

  1. In "RCP System" → "Records" tick the entry with the checkbox on the left.
  2. In the top bulk action bar click "Pending" — the entry will change to the Pending status.

Tick the entry and set the "Pending" status in the top bar

  1. Now you can edit the entry (the "Edit" action in the row), and once the times are fixed, approve it.

Remember: Only Approved entries count towards exports and summaries — Rejected and Pending entries are not included. So after correcting, remember to approve. Details: [Correcting and approving work time](Correcting and approving work time).
