Regions, sectors and the location structure

When you have a dozen or several dozen locations, assigning them one by one to each employee is tedious. Regions and sectors are two levels of grouping that shorten this: instead of ticking dozens of locations, you assign an employee to a whole region or sector and they inherit every location inside it. On top of that, these groups filter views in the application — it is easier to find the right area.

The hierarchy has four levels: Sector → Region → Location → Position. A region groups locations (for example a city, a district or a cluster), and a sector groups regions (for example a geographical area or a business line). A location does not have to belong to a region, and a region does not have to belong to a sector — the grouping is optional and you set it up when it genuinely makes the work easier.

Adding a sector

A sector is the highest level of grouping. Start with it if you are planning the structure top-down (areas first, then regions inside them).

Go to the "Locations" tab in the top bar and then to the "Sectors" tab.
Click "Add sector" in the top right corner.

Getting the app and accessing Proplanum

Proplanum works both in a web browser and in the mobile app for Android and iOS — pick whichever suits you better. Below we show how to log in through a browser and how to get the app on your phone.

Access through a browser

To work in Proplanum you do not have to install anything — any web browser will do.

Open a browser.
In the address bar type app.proplanum.com/login.
Once the page loads, log in with the details you got from your employer.

Getting the mobile app

The mobile app lets you use Proplanum from your phone — you check the schedule, track your working time and submit requests on the go. You get it from the store for your system.

Android

Open the Play Store on your phone.
Type Proplanum in the search field.
Tap "Install".
Once it is installed, open the app and log in with the details from your employer.

iPhone (iOS)

Open the App Store on your phone.
Type Proplanum in the search field.
Tap "Get" and wait for the installation to finish.

How do I track working time without a phone?

Left your phone in the locker room, it ran out of battery, or you simply do not take it to work? You do not have to ask your supervisor to fill the entry in — you can clock in at the KIOSK terminal standing in your location.

KIOSK is a tablet set up permanently in the location. When idle it shows a clock and the methods you can confirm your identity with.

You have four ways to choose from:

A fingerprint — requires a fingerprint reader
A contactless card — requires a card reader
A QR code — from the app or printed out, with no extra hardware
A PIN — five digits from your profile, with no extra hardware

If no readers are connected in the location, the QR code and the PIN remain.

How to clock in

Go up to the terminal and pick a method, for example "PIN".

Starting work as a Location Manager

First steps

Once you accept the invitation you sign in through a browser or the mobile app (iOS/Android). On the dashboard you will find the key information about your team.

If you manage more than one location, you switch between them with the location selector on the dashboard — it shows the current location (for example "Clinic") and lets you choose another.

You plan, modify and publish schedules, and use automatic generation and templates.

||| Caution: changes apply and become visible (reports, printouts, employees) only after publication — with the "Publish" button. Only future periods can be edited. After publication employees get an automatic notification in the mobile app.

The 21-day trial gives you the full package — every feature, no limits and no card to add. It is time to see how Proplanum works out in your organisation. Once it ends, you pick a plan matched to your needs. Below we describe how the packages differ and what you get in each of them.

What happens after the trial?

When the 21-day trial comes to an end, you have two routes:

You pick a plan — monthly or annual (annual works out cheaper per person). You activate the plan in the "Your subscription" portal (left sidebar → "Billing").
You do nothing — access to the full features then expires, and we keep your data for some time so you can come back without losing your configuration.

|| You can decide on a plan at any point during the trial — there is no need to wait until the last day.

Silver

The basic package for planning work:

the online work schedule
electronic leave requests
HR and payroll exports

Price: 14 PLN net per person per month (or 12 PLN billed annually).

Gold

Everything in Silver, plus:

Platinum

Everything in Gold, plus:

Submitting a leave request

Requests in Proplanum replace paper leave forms. An employee reports leave or another absence straight from the application, the supervisor reviews it in one place, and an approved absence appears in the work schedule immediately. Below we show step by step how to submit a request — in the browser and in the mobile app.

Go to the Requests tab and click "Add request" in the top right corner.

Point to the employee you are submitting the request for and click "Next".

|| Remember: The employee selection step is seen by the Manager, the Location Manager and the Administrator. An employee submitting a request for themselves goes straight to the calendar.

Mark the date range in the calendar and set the options, then click "Next":

All day — a request for a full day. Turn it off to give specific hours (part-day leave).
Skip weekends / Skip holidays — those days are not counted towards the request.
Automatic approval — the request will be approved without a supervisor's decision (if the option is available).
Request recipient — your main supervisor by default.
