Employment templates

Employment templates let you prepare a ready-made set of working conditions and available requests once, and then assign it to many employees in bulk. That way you onboard the team faster and with fewer mistakes — you can create several variants, for example a separate one for full time, half time, a mandate contract or B2B.


Important: A template is a basis for the settings. Once you have assigned it to an employee, you can still override individual values for that person.


Caution: Only the Organisation Administrator can create employment templates. The ready templates are then used by the people who manage the team (for example the Location Manager, the Advisor, the Manager) when planning work and editing schedules.


How to create an employment template


  1. In the menu on the left click Company settings (the cog icon at the bottom of the menu).
  2. Pick Employment templates.
  3. Click Add employment template in the top right corner.
  4. Enter a name and a description so the purpose of the template is easy to recognise.
  5. Configure the two sections: Employment conditions and Available requests.
  6. Save the template.

Each section has its own toggle that switches it on or off in the template. If you want the template to cover only one of them, switch the other off with the toggle on the right.


Caution: If you do not switch a section off, its settings will be loaded when the template is applied — even if the section is empty.

Employment conditions


In this part you set the most important working parameters:


  • Contract type — pick: employment contract (with the working-time fraction), mandate contract or a B2B contract.
  • Night time — set the start and end of the night period.
  • Hour limit — the maximum number of hours an employee may have scheduled in the settlement period. If you have a set limit (for example 160 h a month), enter it here and the system will keep an eye on the hours and tell you when it is exceeded.
  • Salary limit — the maximum amount of pay in the settlement period. Useful when you want to stay within budget. In that case the employees have to have pay rates set.
  • Period rates — set the rates that apply from a chosen date. You can define rates in date ranges and assign different rates to different positions.


In this section you also pick the Work system from a dropdown (6 options):


  • Basic
  • Equivalent 12h
  • Equivalent 16h
  • Equivalent 24h
  • Weekend
  • Continuous operation (brigade)


There are also checkboxes:


  • Medical norm 7:35 — tick it if the employee is subject to the working time norms for healthcare providers.
  • Flexible working time — allows work to be planned at flexible hours.
  • The template sets the disability degree — described below.


Caution: The Flexible working time field is not available for the Weekend system or for Continuous operation (brigade).

The disability degree in a template


A disability degree lowers the working time norm, so the template treats it more carefully than the other fields — you decide yourself whether the template is to manage it at all.

  • Checkbox off (the default) — the template does not touch the degree saved for the employee. Applying the template updates the other conditions and leaves the certificates untouched.
  • Checkbox on — you pick a value from the list, and the template overwrites the degree for every employee you apply it to. Picking "None" means deliberately removing the certificate.


Important: Leave the checkbox off in general templates — for example "Full time" or "Mandate contract". A certificate belongs to a particular person, not to the employment conditions, so a bulk update of rates should not change anybody's working time norm along the way.


Once the checkbox is on, the list stays empty and you have to indicate a value — without it the template will not save. More about the degrees themselves and their effect on the calculations in Disability degree – questions and answers.


Available requests


In this section you assign requests (for example leave, sick leave) to the template:


  1. Tick the checkbox next to the request you want to add (the entry will be highlighted in blue).
  2. On the right enter the limit (for example the number of days) for that request.


Remember: The list of requests in this section depends on what you have configured in the organisation. You add and edit request types in the Requests category.


What next with the template


Once saved, the template lands on the list and is ready to use. You assign the template to employees (in bulk, along with groups) in the team management section — see Team management.
