Articles on: Configuring Proplanum for the company

What is Proplanum?

Proplanum is a system for planning work, tracking time and managing a team. It replaces hand-made schedules and scattered spreadsheets with a single tool, so you lay shifts out faster, keep overtime under control and manage employees across several locations. The goal is fewer mistakes, better communication and more time for growing the business instead of administering it.

Proplanum runs in a browser (the web panel) and in a mobile app, so managers and employees can reach the schedule and requests from anywhere.

The industries that use Proplanum

Proplanum works wherever the work is shift-based and spread out:

  • Retail — managing employees' time and keeping costs under control.
  • Hospitality — planning the work of chefs and waiting staff, tracking availability.
  • Hotels — planning around the seasons and avoiding overtime.
  • Healthcare — schedules in hospitals and clinics that take staff availability into account.
  • Manufacturing and logistics — shifts and continuity of production.
  • Entertainment and leisure — laying schedules out quickly around the number of events and shifts.

The tools in Proplanum

You organise the day-to-day work in several tools available from the menu:

Schedule — planning the team's work:

  • laying out shifts with preferences and absences taken into account,
  • keeping an eye on the work across all the company's locations,
  • finding cover quickly in an emergency,
  • automatic notifications about schedule changes.

RCP System — tracking and settling working time:

  • monitoring actual working time, lateness, overtime and early finishes,
  • correcting the records and approving or rejecting changes,
  • exporting the records to HR and payroll programs,
  • configuring the KIOSK terminal.

Requests — handling employees' requests:

  • approving and rejecting leave requests,
  • an overview of every request, its details, limits and history,
  • notifications about new requests,
  • employees submitting availability, which makes planning easier.

Tasks — organising the team's duties:

  • assigning tasks to yourself and to employees,
  • assigning tasks to individuals or to whole groups,
  • monitoring the status and whether deadlines are met,
  • viewing, editing and archiving tasks.

Team — managing employees:

  • a list of the employees assigned to the locations you manage,
  • editing details and adding new team members,
  • inviting users and accepting invitations,
  • searching and filtering the employee list.

Locations — the settings of each place of work:

  • adding locations,
  • editing the name and the address,
  • configuring planning, working time and the team in a given location.

Company settings and integrations

Besides the day-to-day tools, the Organisation Administrator configures the whole company in one place — Company settings. There you will find the basic details and the global configuration, positions and tags, employment templates, request types, public holidays, the labour code, export codes and HR/payroll Integrations. It is precisely those areas that this whole help category is devoted to — from the first login to advanced working time rules.

Remember: the company setup is usually done by the Organisation Administrator. Who can do what in the system is covered in the Roles in Proplanum category.

By bringing the schedule, the RCP System, requests and the company settings together in one place, you join up the administrative processes, cut down on errors and manage the team better. In the next articles of this category you will configure the company to suit your needs, step by step.
