Search, sorting and view settings

The employee list in the schedule can get long. Above it you have a search box, Filters (tags, contract type, role) and the View settings panel — you can quickly find a person, narrow the schedule down to a chosen group, set the order of the list, choose which figures you see next to each employee and which data the charts show. The features are used by everyone who lays out the schedule (Manager, Location Manager, Advisor, Organisation Administrator).

Searching for employees

Above the employee list, in the schedule's left-hand column, you will find the search field. Start typing a first or last name — the list narrows to matching people straight away. Clear the field to return to the full list.

Filters: tags, contract type and role

If you want to narrow the schedule down to a chosen group of people, click the "Filters" button in the top toolbar (next to the range and View options).

The Filters menu with the Tags, Contract type and Role fields

Set one or more dimensions:

  • Tags — employees with the chosen tags (the available tags depend on the selected location),
  • Contract type — for example an employment contract or a mandate contract,
  • Role — the roles that appear in the schedule: Employee, Manager, Location Manager. Advisors and Organisation Administrators have no work schedule, so they do not appear in this list.

You confirm the choice with the "Apply" button, and "Reset" clears all the dimensions at once. Once applied, the button shows a counter of active dimensions, for example "Filters: 2".

The filter becomes the active scope — it narrows not only the employee list on the screen, but also bulk actions and exports (PDF/Excel) to the chosen people.

Tip: The filter is remembered, so it stays active when you come back to the schedule. To see everyone again, clear it with the "Reset" button.

Opening the view settings

Next to the search field click the View settings icon.

A panel opens with three sections: Employee sorting, Employee metrics and Chart statistics.

Employee sorting

The Employee sorting section decides the order of people in the list:

  • Default — the system order,
  • Custom — the order you have set by hand,
  • First name A-Z / Z-A and Last name A-Z / Z-A — alphabetically,
  • Employment contract / Mandate contract — groups employees by contract type.

Employee metrics

The Employee metrics section sets which figure appears next to each employee (under their name).

Metric — you choose what we show, among others:

  • Planned • Cost — planned hours and cost,
  • Planned / Nominal, Worked / Nominal, Worked / Planned — hours against the full-time equivalent or against each other,
  • Balance to norm, Norm usage % — how much is missing from the norm or how far above it,
  • Planned • Number of shifts, Working / free days, Morning / afternoon, Planned • Leave — further takes on work time.

Period — you choose the range the metric is counted for: Selected period (what you have on the screen) or the employee's Settlement period.

Tip: The metric and the period change only how the figures are displayed — they do not touch the schedule itself. What the hours and the messages next to an employee mean exactly is described in The employee list in the schedule.

Chart statistics

The Chart statistics section decides which series appear on the charts above the schedule days:

  • Number of shifts — grey,
  • Number assigned — blue,
  • Shift cost — orange.

Tick or untick the series to leave only what interests you on the chart.

Choosing the data series shown on the charts

You turn the charts themselves on with the Statistics button — how to read them is described in Statistics in the schedule.
