Publishing schedule changes

Publishing shares the finished schedule with employees. Until you publish it, the schedule is a draft — only you and the other people laying out the schedule can see it, and the team gets no notifications. Once published, employees will see their shifts in the mobile app and receive a notification. Below we show how to publish shifts and how to unpublish them if you need to.


Remember: Only the Manager (their own location), the Location Manager (their assigned locations), the Advisor and the Organisation Administrator can lay out, edit and publish the schedule. An Employee has view-only access.


Publishing shifts


  1. From the left icon bar choose "Work schedule" (the calendar icon).
  2. Plan the shifts for the chosen period. How to find your way around the tool is described in Getting started with the Schedule tool, and the whole of planning is collected in the Schedule Planning category.
  3. Click "Publish" in the top right corner. In brackets next to it you can see the counter of shifts waiting to be published.

Once clicked, employees with active accounts get a notification straight away — in the mobile app and by email.


Caution: Until you click "Publish", the schedule stays a draft — employees do not see the planned shifts and get no notifications. Only future periods can be published.


Unpublishing


If you need to make corrections after publishing, you can withdraw the published shifts. Open the "Options" menu in the toolbar and choose one of the options.

  • "Unpublish the schedule" — withdraws every published shift in the current period. They return to draft.
  • "Undo the last publication" — withdraws only the shifts from the last publication; shifts published earlier stay visible to employees. The item appears when there has been a last publication in the period.


You can publish withdrawn shifts again at any time.


Printing and exporting the schedule


If you hand the schedule out on paper, you can download it as a PDF or Excel file (the "Export" menu). The export covers published shifts only — a draft will not go into the printout. The full list of formats and the instructions are in Exporting the schedule to PDF and Excel.
