The employee list in the schedule

The employee list is the schedule's left-hand column — it shows who works at the location, how many hours they have planned and what it costs. It is also the place where the system warns you about breaches of the regulations, pending requests and exceeded limits, so you do not have to watch over that by hand.


You open the work schedule from the left vertical icon bar — choose Work schedule. Every user can view the schedule, but only the Manager (at their location), the Location Manager (at their assigned locations), the Advisor and the Organisation Administrator (across the whole company) can lay it out, edit it and publish it.


Remember: The employee list, the costs and the messages are visible only to the people laying out the schedule. An Employee does not see them — in the mobile app they will see the published schedule only.


Information about an employee


Next to each person in the list you will find a summary of the work time planned for the chosen period and the cost, if the employee has pay rates set. The hour total also includes hours from approved leave requests.

How the hours are presented depends on the employee's employment terms:


  • employment contract — the planned time shown against the full-time equivalent for the settlement period (with a different equivalent the hours are converted proportionally),
  • mandate contract / B2B — the total planned time in the given period.


You set the hour limit and the pay limit in the employee editor. When you plan more than the full-time equivalent or the limit allows, a warning message appears in the list.


Caution: Fill in the employment terms in the employee editor first — only then does the system know which rules to watch over (among others labour law provisions, limits, the full-time equivalent). You set the terms in the Team module.


Messages next to an employee


An orange dot next to a name means the system has a message for you. Click it to open a window with three sections:


  • Labour law — breaches of the regulations, depending on the message settings you have turned on,
  • Requests — submitted requests awaiting approval,
  • Work time — the total planned hours against the full-time equivalent or the hour limit.

If you turn on the planning lock after the end of a contract at the location, the employee's cells will be locked after the contract end date and a message will appear next to their name. You will find the setting in the location configuration — see the Locations category.
