In the main window, the settings for basic data and global configuration of your organization will be displayed.

Company Basic Data Configuration

Edit basic company data such as:

Company Logo - you can add your company's logo, edit it, or remove it.
Contact Person - fill in the contact person's details in your company by entering their first name, last name, phone number, and email address. This person will contact the Proplanum team if needed.
VAT Invoice Data - enter the necessary information that will be visible on the VAT invoice: company name, company address, city, postal code, and VAT number.

Before you start adding employees to the organization in Proplanum, make sure you have the required permissions - you must be an Organization Administrator, Advisor, or Location Manager. Adding team members is one of the first steps when setting up an organization account in Proplanum. Here’s how to do it:

Manually adding a new employee

After logging into Proplanum, go to the “Team” tab.
Click the “Add Employee” icon in the top right corner.
Fill in the fields with the employee's information: first name, last name, phone number, email address, location (primary and additional), and access level.

Send system invitation - to have the system automatically send an invitation to the new employee's email address after they are added to the system.
Send app invitation - enable this option to have the new employee automatically receive an invitation to the app via SMS after being added to the system.

As an administrator, you have the ability to specify what permissions a given employee will have. The access level defines which functions and data the employee will have access to in the Proplanum system. Introduction

After accepting the invitation to the Proplanum team and logging in using our web or mobile application (iOS/Android), you can start using Proplanum's features. On the main dashboard, you will find the most important information regarding your team. With the tabs on the toolbar, you can effectively plan and manage your team. If you manage more than one location, you can select it by clicking "Select location" in the upper right corner of the dashboard.

Schedule

The "Schedule" tab is a key tool for planning your team's work. It allows you to:

Plan employees' work, taking into account their preferences and absences.
Quickly find a replacement in emergency situations.
Automatically send notifications about schedule changes to employees.

Employee personal data settings

After configuring the location in Proplanum, it's time to add your team. Organization Administrator, Advisor and ** Location Manager** have the permissions to add and edit organization members' data. Each of these users, upon logging into the system, can view and modify employee data.

Editing Employee Personal Data

Open your web browser and log in to Proplanum.
From the main dashboard, go to the ** "Team"** tab.
In the main view, you will see a list of previously entered employees. At the end of each employee's row, there is a button to edit personal data.
Select "Edit" from the dropdown list.

The employee's profile with their personal data will be displayed.

Here you can:

attach the employee's profile picture and edit other data such as first name, last name, phone number.
specify the employee's workplace - the main location. The employee can also have an additional workplace assigned. Depending on the company's structure and work requirements, you can assign users several additional locations.

Can I submit a leave request from the mobile application?

You can apply for leave using the Proplanum mobile app. Below is a step-by-step guide on how to do it.

Open the Proplanum app on your phone and log in using your login credentials.
Select the "Requests" tab from the bottom toolbar. In the main view, you will see all your requests in Proplanum.
Click the plus icon in the bottom right corner of the screen. A new window will appear where you can choose the type of request.
Select the appropriate type of leave from the available options. Then fill in the details regarding the leave period, including dates and times if you want the request to cover only part of the day. You can also check options for skipping weekends and holidays and for automatic approval of the request.
Indicate your supervisor as the recipient of the request. You can also add notes that will be visible to the recipient.
After filling in all the required information, click the "Submit Request" button. Your request will be saved and forwarded for review.
Once your request is approved by your manager, you will receive a notification in the Proplanum app.
