Task kinds and creating tasks

In the Tasks module you create two types of entry — tasks (obligations with a deadline and completion control) and information (messages) — and assign them to employees.

Two kinds

  • Task — an obligation with a deadline; it has a completion status, you can add subtasks and control the stages.
  • Information — a message to chosen people (for example an announcement or a reminder about a meeting); with no status and no subtasks.

Creating a task

  1. In the left-hand menu open "Tasks". The list is grouped into tabs ("Created by me", "All tasks", "Archived").

The task list with the "Add task" button

  1. Click "Add task" in the top right corner — the "New task" window opens.

The "New task" window

  1. Fill in the fields:
    • in the "Kind" field choose "Task";
    • set the Status (Not started, In progress or Rejected — "Completed" is not available when creating);
    • in "Assigned people" choose one or more people;
    • set the Recurrence (a single or a recurring task) and the period (start date and due date, or the recurrence parameters);
    • add a Name and a Description;
    • add Subtasks if you need them.
  2. Click "Save" — the assigned employees will get a notification.

Caution: the "Create as separate tasks for each person" option (which appears once you assign more than one person) creates a separate copy of the task for each person — it makes tracking progress individually easier.

Creating information

Proceed exactly as for a task, but in the "Kind" field choose "Information". Information has neither a status nor subtasks — set the period, the name and the description, then click "Save".

Remember: tasks and information are created by the Organisation Administrator, the Location Manager and the Manager; an Employee can only create a task for themselves; an Advisor does not create tasks.
