Work hours settings in the location

In Proplanum , you can precisely configure the settings regarding working hours and the way they are recorded for your employees at a selected location. This article will guide you step by step through the configuration process, including overtime, night time, and work time registration. These settings are available for Organization Administrator, Advisor and Location Manager.

Configuring working hours settings at a location



Log in to Proplanum and go to the "Locations" tab.
Select the location you want to edit and click the options button with three dots on the right side of the row. From the drop-down list, select "Edit"



Go to the "Working Hours" tab from the list on the left side.



Overtime and night time



Count daily overtime - set how many hours an employee must work in a day for overtime to start accruing. For example, for an entered value of 8h, it means that after working 8 hours in a day, overtime will start accruing.


Count double daily overtime - specify after how many hours overtime will be counted double, e.g., for a value of 10 h, it means that after 10 hours of work, the employee will start accruing double overtime.

Night shift allowance - enable this to allow employees to receive a night shift allowance of 20% of the hourly rate, based on the minimum wage.

Count weekly overtime - set the number of hours in a week that must be exceeded to start accruing overtime, e.g., for a value of 40, it means that after exceeding 40 hours of work in a week, overtime will start to accrue.

Night time - specify the start and end hours of night work.



Time Tracking (RCP):



In the Proplanum system, you can precisely adjust the way your employees' working time is recorded. Below you will find an explanation of the individual settings:

Activate the time tracking tool - if you enable this option, your employees at a given location will be able to use the RCP tool.



Work time registration method - choose the preferred way for employees to register their work time. Options include registration via PIN, mobile app, or using RFID/NFC cards.

Break registration - specify whether breaks should be registered and what types of breaks will be monitored (e.g., paid or unpaid).

Location verification upon registration - enable this option to require employees to confirm their GPS location when registering attendance via the mobile app.

Work time registration outside of shift - allow employees to register work time outside of their regularly scheduled shifts. When enabled, if an employee is not included in the work schedule, they will be able to start work time registration outside of the shift.

GPS accuracy rounding - specify the GPS location accuracy in meters, which will cover the distance within which employees can register their work time.




Rounding of start times - automatically round start times to the nearest full time unit (e.g., 5, 10, 15 minutes). Set the tolerance with which the recorded work time will be rounded.
For example, if you set the start time rounding to 10 minutes, and an employee has a scheduled shift at 8:00 AM and starts it at 8:04, the system will record the time from 8:00. However, if the employee starts the shift at 8:07, the system will record the time from 8:10.

Late tolerance - set the tolerance for employee lateness by specifying the maximum lateness time.
For example, if you set the lateness rounding to 10 minutes, and an employee has a scheduled shift at 8:00 AM and starts it at 8:04, the system will record the time from 8:00. However, if the employee starts the shift at 8:07, which means they are 7 minutes late, the system will record the time from 8:10.

Rounding of end times - automatically round end times to the nearest full time unit (e.g., 5, 10, 15 minutes). Set the tolerance with which the recorded work time will be rounded.
For example, if you set the end time rounding to 10 minutes, and an employee has a scheduled end of shift at 3:00 PM and ends it at 3:04, the system will record the time until 3:00. However, if the employee ends the shift at 3:07, the system will record the time until 3:10.
If you set the end time rounding to 10 minutes, and an employee has a scheduled end of shift at 3:00 PM and ends it at 2:56, the system will record the time until 3:00.


Automatic RCP Acceptance - enable this option for the system to automatically accept all entries in the time register without the need for additional confirmation by a supervisor. This means that the recorded working time of employees in the system will automatically have the status "Accepted".

Remember to click the "Save" button after making changes to save the settings.

With these settings, you can effectively manage employees' working time at a specific location, ensuring accuracy and compliance with company policies.
