The employee list – columns, filters and bulk actions
The "Team" tab opens the employee list (the "Employees" header) — the central view from which you manage the whole team: you review your team members' details, search for and filter people, edit individual profiles and run operations on many employees at once. This article describes the table columns, the search box, the filters, the row actions and the three bulk action menus.

Table columns
The list has six data columns (plus the actions column on the right). Clicking a header sorts the list — sorting works for the "Employee", "Location", "Status", "Role" and "Employment" columns (the "Positions" column is not sortable).
- "Employee" — the avatar, first and last name, and below them the integration ID (or "—" when none is set). A green dot next to the name (tooltip "App active") means the employee has activated the mobile app.
- "Location" — the main location; a "+N" marker next to the name shows the number of additional locations (hover to see them listed under the "Additional location" header).
- "Status" — a colour-coded employee status badge. If there was a problem delivering the invitation, a problem icon appears next to it ("Bounced", "Dropped" or "Spam").
- "Positions" — the positions assigned (up to 3 visible; beyond that the first 2 are shown along with a "+N" marker).
- "Role" — the employee's role in the organisation.
- "Employment" — the contract type, and under it the contract end date: "permanent", "until {date}" or "—". The date is highlighted in red when the contract has already ended or ends within a month, and in orange when it ends within three months.
Search box and filters
Above the table there is a "Search" field and a row of filters — both always visible. The search box narrows the list down as you type a phrase. There is no filter by position on the list; the filters available are:
- "Location" — pick one or more locations.
- "Status" — pick statuses.
- "Role" — pick roles (Employee, Manager, Location Manager, Advisor, Organisation Administrator — the range depends on the permissions of the person viewing).
- "Contract type" — full time, part time (7/8, ¾, ½, ¼), mandate contract, B2B.
- "Employment end range" — a range of contract end dates.
Row actions
Hovering over a row brings up the pencil "Edit" icon on the right (it opens the employee profile; visible only for the roles you are allowed to edit) and a "⋮" menu with further actions:
- "Details" — a preview of the employee profile.
- "Availability calendar" — the employee's availability (hidden for the Advisor and the Organisation Administrator).
- "View limits" — the employee's request limits (hidden for the Advisor and the Organisation Administrator).
- "Resend invitation" — sends the invitation again (visible when the employee has an e-mail address and their status is neither Active nor Archived).
- "Archive" — moves the employee to the archive (the "Archive employee" dialog); this frees up a licence and is reversible.
- "Delete permanently" — permanent, irreversible deletion of all the employee's data.
Bulk actions
Once you tick some employees, three buttons with menus appear above the list — they perform the same operation on everybody selected. You can tick individual rows or everybody matching the filters; the latter covers employees beyond the current page too, so the operation will apply to the whole filtered set.

Invitations
The "Invitations" button (available to everybody who sees the action bar) has two entries:
- "Invite to the app" — an invitation to the mobile app (SMS).
- "Invite to the system" — an e-mail invitation to the system. Once sent, the "Sending invitations" window opens so you can track delivery.

Quick assign
The "Quick assign" button (hidden for the Manager role) lets you set data in bulk:
- "Assign positions" — requires everybody selected to be in the same location (otherwise the entry is disabled with the hint "requires a single location").
- "Assign to group" — also requires one shared location.
- "Assign tags"
- "Assign locations"
- "Apply employment template" — overwrites the data from the employment template (see Applying employment templates and groups).
When assigning positions, tags or locations you pick the "Mode": "Add", "Replace" (the default) or "Remove".
Change status
The "Change status" button (hidden for the Manager role) changes the status of the selected employees to one of two targets:
- "Archived" — takes away access and frees up the licence (offboarding, reversible).
- "Inactive" — blocks logging in, but the employee can still be scheduled and still uses a licence.
You confirm the change in the "Archive employees" or "Mark as inactive" window by holding the "Hold to apply" button. The window lists the employees the change applies to.
