Setting rates and pay

You set the pay rates in the employee profile, in the "Employment conditions" tab. They determine how much the employee earns and how Proplanum calculates the cost of shifts — split by the periods they apply to, by days of the week and by supplements (overtime, night, Sundays, public holidays). The kinds of rate available depend on the contract type picked higher up in the same tab, Configuring the employment conditions.


Important: Rates are edited only by the Organisation Administrator, the Advisor and the Location Manager. The Manager and the Employee have no access to the employment conditions.


How to open the rate settings


You will find the rates in the employee profile, in the "Employment conditions" tab. To get there:


  1. Go to the "Team" tab.
  2. On the employee list click the pencil "Edit" icon next to the person you want.
  3. In the menu on the left pick "Employment conditions".
  4. Scroll to the "Period rates" section.

Remember: Set the "Employment type" at the top of the tab first. Changing the contract type between the salaried group and a mandate/B2B contract resets the rates you have entered.


Date ranges — rates over time


Every rate applies from a particular date. You can add several ranges, for example a lower rate for the probation period and a higher one after it — Proplanum will use the rate valid for the date of the shift.


  1. In the "Is valid from" field set the date the rate is to apply from.
  2. To add another period click "Add next dates range".
  3. Each range shows a "Rate from" header with its date. You remove a range you do not need with the "Delete" button (when there is only one range, deleting is blocked).


The kind of rate


In the "Type" field you choose how the pay is calculated. The list of options depends on the contract type.


Employment contract (full, ¾, ½, ¼, 7/8 time)


  • Salary — a fixed amount for the settlement period. Pick the "Payment period" and enter the amount in the "Salary" field. You can add percentage "Additions": "Overtime", "Night hours", "Sundays", "Holidays".
  • Hourly rate + additions — a single hourly rate in the "Rate" field plus percentage supplements (as above). Useful when you settle a salaried contract by the hour with supplements.

Contract of mandate and B2B


  • Fixed rate — a single hourly rate amount, the same regardless of the day and the number of hours (the "Rate" field).
  • Hourly rate — separate rates for different days: "Weekdays", "Sundays", "Holidays", plus a "Night hours" supplement in per cent.
  • Hourly rate + additions — an hourly rate in the "Rate" field plus percentage supplements ("Overtime", "Night hours", "Sundays", "Holidays"); Proplanum works the supplements out itself.


Remember: You enter the supplements in per cent (for example 50 for overtime). For an employment contract Proplanum suggests the usual values — overtime 50%, night 20%, Sundays and holidays 100% — which you can change.


Different rates for positions


If an employee works in several positions with different rates, you can set the rate separately for each of them. The option is available for every kind of rate except "Salary".


  1. Under the "Rules for positions" section click "Add position".
  2. Pick the position from the "Position" list and enter the rates for it.
  3. You remove a rule you do not need with the "Delete position" button.


Only the positions assigned to that employee appear in the list. You assign positions in the "Personal information" tab, Editing an employee’s personal details.


Saving


Once the rates are set, save the changes with the "Save" button in the action bar at the top. The "Revert changes" button restores the form to the last save. The bar is active only when there are unsaved changes in the form — without saving, the rates will not be kept.
