Adding team members

Before you start adding employees to the organization in Proplanum, make sure you have the required permissions - you must be an Organization Administrator, Advisor, or Location Manager. Adding team members is one of the first steps when setting up an organization account in Proplanum. Here’s how to do it:

Manually adding a new employee



After logging into Proplanum, go to the “Team” tab.
Click the “Add Employee” icon in the top right corner.
Fill in the fields with the employee's information: first name, last name, phone number, email address, location (primary and additional), and access level.



Send system invitation - to have the system automatically send an invitation to the new employee's email address after they are added to the system.
Send app invitation - enable this option to have the new employee automatically receive an invitation to the app via SMS after being added to the system.

As an administrator, you have the ability to specify what permissions a given employee will have. The access level defines which functions and data the employee will have access to in the Proplanum system. Detailed information about the various access levels and their functions can be found in the User Access Levels in Proplanum.

Important: Make sure to carefully review the descriptions of the access levels to assign the appropriate permissions according to the employee's role and needs.

After adding a new user, they will be visible on your employee list.

User Statuses



The stage of joining your organization that your employee is currently at is determined by their status. In Proplanum, we distinguish several types of statuses:

Active - the employee has completed the registration process and logged into Proplanum for the first time.
Invited - an email invitation with an activation code has been sent to the new user.
Pending - the user has received a registration link and is awaiting approval from a supervisor.
Archived - the employee has been moved to the archive and is no longer active.

These statuses help track the registration process and employee activities in the Proplanum system.

Manually Adding a Group of Employees



After logging into Proplanum, go to the "Team" tab.
Click the arrow next to the "Add Employee" icon and select the "Add Group of Employees" option.



Select the location where you want to add the group of employees.
Fill in the details for each employee: first name, last name, phone number, email address.



Check the option:

Send invitation to the system - to have the system automatically send an invitation to the new employee's email address after they are added to the system.
Send invitation to the app - enable this option for the new employee to automatically receive an invitation to the app via SMS after being added to the system.

Add additional users by clicking the "Add next person" icon.
After entering the data for the entire group, click "Add", and the employees will appear on the list assigned to the selected location.

Employee Data Import



After logging into Proplanum, go to the "Team" tab.
Click the arrow next to the icon in the upper right corner "Add Employee" and select the "Import" option.


In the new window, follow the instructions:

Download the data template. - choose one of the available formats: .CSV or .XLSX.



Fill it with employee data



Attach the completed table. Select the option:

Send system invitation - to have the system automatically send an invitation to the new employee's email address after adding them to the system.
Send app invitation - enable this option for the new employee to automatically receive an invitation to the app via SMS after being added to the system.



Important: If any data is in the wrong format, the application will display an error message.


If you want to send an invitation to employees later via email or SMS, you can do so after adding them to the system. Simply select the appropriate individuals, and a bar with options to send the invitation via email or SMS will appear at the top of the screen. You can do this at any time.



After selecting "Next", incorrect information with messages will appear in red in a new window.


Important: In this case, you will need to correct the incorrect entries and start the process again.

If all data is entered correctly, the system will display a message indicating the import is complete.



Remember: All imported employees will have the default role of "Employee", which can be changed individually later. You can read about assigning and changing user roles in Proplanum here.

Your team in Proplanum has been created. You can now manage team members and take full advantage of the application's features.


Important: Remember that the number of employees you can add depends on the number of licenses purchased.
