# Work time tracking (RCP) settings

Work time tracking (RCP) lets employees record the actual start and end of a shift, and lets you compare it with the schedule and settle it. The **TIME TRACKING** group in the location editor holds three pages: **"Registration"** (whether the tool is on and how attendance is verified), **"Rounding and approval"** (how the system rounds the recorded times and approves entries) and **"Work time alerts"**. These settings are available to the **Organisation Administrator**, the **Advisor** and the **Location Manager**.

||| Caution: The group is visible only in organisations with a licence that includes the time tracking feature. Without it you will not see these settings.

# Opening the time tracking settings

1. In the menu on the left click **Locations** (the **ORGANISATION** group).
2. On the chosen location click the **pencil** icon ("Edit location") in the row (or the ⋮ menu).
3. In the settings panel on the left choose **"Registration"** from the **TIME TRACKING** group.

# Turning the time tracking tool on

At the top of the **"Registration"** page there is the **"Enable time tracking in this location"** switch. Turn it on so that employees at this location can record their work time — with it off the remaining settings have no effect.

| Important: You configure time tracking separately for each location — turning it on at one does not start it at the others.

# Verification and the method of recording

These settings decide where and when an employee can start recording.

* **Location verification when clocking** — requires the employee to confirm their GPS location while recording attendance through the mobile app.
* **Time tracking outside a shift** — allows work time to be recorded even when the employee has no shift planned in the schedule.
* **Time tracking in the mobile app** — allows starting and ending the time measurement directly from the employee's mobile app. When you turn this option off, time can be recorded only through Proplanum KIOSK on a company tablet or phone, and on their own phone the employee only sees the hours worked.
* **Do not deduct paid break time** — when on, the time after a paid break is overrun is not treated as an unpaid break and does not reduce work time.
* **Recalculate break types when tracking stops** — when time tracking stops, unpaid breaks are reclassified as paid up to the allowance set in the organisation break policy (**Company Settings → Overtime and paid breaks**).

## Early time tracking start

In the **"Value (min)"** field under the **"Early time tracking start (min)"** setting, enter how many minutes before the planned shift start an employee may begin recording. The allowed range is **10–360 minutes**, **120** by default. Before that window the system blocks the option to start recording.

## GPS accuracy

In the **"Accuracy (in metres)"** field under the **"GPS accuracy rounding"** setting, determine the radius (in metres) within which an employee can record work time. **100** by default.

# Rounding and approval

The **"Rounding and approval"** page lets you save the planned shift hours instead of small deviations at clocking.

* **Default rounding to 5 minutes** — when on, entries not covered by other rules are rounded to 5 minutes; when off, they are recorded to the minute.
* **Start time rounding** — choose from the list (Never / 5 / 10 / 15 / 20 / 30 / 60 minutes) how far before the planned shift start a clock-in should be saved as the planned hour. **15 minutes** by default.
* **Lateness tolerance** — choose from the list (Never / 5 / 10 / 15 / 20 / 30 / 60 minutes); it works together with start rounding: it sets how far **after** the planned start a clock-in is still saved as the planned hour. Together the two settings form a window around the planned start in which the time is saved as the shift's planned hour. **10 minutes** by default.
* **End time rounding** — choose the threshold (Never / 5 / 10 / 15 / 20 / 30 / 60 minutes) within which a shift-end clock-out (before or after the planned hour) is saved as the planned end hour. **5 minutes** by default.

|| Remember: The start rounding window is independent on each side: "earlier" is set by start rounding and "later" by lateness tolerance. End rounding works symmetrically (the same threshold before and after the planned hour).

# Automatic time entry approval

The **"Automatic time entry approval"** setting is a list of deviation thresholds from the plan, not an ordinary switch. Choose a value (Never / 5 / 10 / 15 / 20 / 30 / 60 / 120 / 240 minutes) within which a time entry automatically gets the **"Approved"** status without a supervisor's confirmation. **15 minutes** by default. Choose **"Never"** if every entry is to be approved by hand.

Once you have made your changes click **"Save"**.
