# Work time alerts

Work time alerts are notifications sent to a supervisor that flag discrepancies between planned and actual work time — lateness, an early finish or an absence from a shift. They let you react faster to problems with time tracking and keep settlement accurate. You configure alerts at the location level; the settings can be changed by the **Organisation Administrator**, the **Advisor** and the **Location Manager**.

# Configuring work time alerts

You turn alerts on and fine-tune them in the location settings, on the **"General"** tab. You configure each location separately, so you can set different thresholds for different workplaces.

1. Sign in to the web version of Proplanum and go to the **"Locations"** tab from the toolbar.
2. Click the name of the location you want to edit to open its settings.

3. From the list of tabs on the left choose **"General"**.

|| Remember: The general settings are pre-filled with the system defaults — you can change them freely.

4. Go to the **"Work time alerts"** section and set the recipient and the thresholds for individual events (described below).

5. Once you have made your changes click **"Save"** before leaving the location settings.

||| Caution: Without saving, the changed thresholds and recipient will not be applied.

## The alert recipient

First decide who is to receive the notifications. There are two options:

* **"All managers"** — alerts go to the Managers assigned to that location.
* **"Schedule authors"** — the alerts go to the person who created and published the schedule (the system sends the notifications automatically).

## Events and thresholds

For each event you set how long to wait before an alert is sent. The value **"never"** turns that alert off.

* **Employee lateness** — how long after the planned shift start to send an alert about lateness (**15 minutes** by default).
* **Early finish of work** — when to send an alert if an employee ends a shift earlier than planned (**never** by default).
* **Employee absence from a shift** — how long after the planned shift start to send an alert about an absence (**never** by default).
