# Regions, sectors and the location structure

When you have a dozen or several dozen locations, assigning them one by one to each employee is tedious. **Regions** and **sectors** are two levels of grouping that shorten this: instead of ticking dozens of locations, you assign an employee to a whole region or sector and they inherit every location inside it. On top of that, these groups filter views in the application — it is easier to find the right area.

The hierarchy has four levels: **Sector → Region → Location → Position**. A region groups locations (for example a city, a district or a cluster), and a sector groups regions (for example a geographical area or a business line). A location does not have to belong to a region, and a region does not have to belong to a sector — the grouping is optional and you set it up when it genuinely makes the work easier.

You will find regions and sectors in the tabs above the location list — open **Locations** in the menu on the left (the **ORGANISATION** group).

# Adding a sector

A sector is the highest level of grouping. Start with it if you are planning the structure top-down (areas first, then regions inside them).

1. Open **Locations** in the menu on the left and then the **"Sectors"** tab.
2. Click **"Add sector"** in the top right corner.
3. Enter the sector's **"Name"** (a required field).
4. Optionally give an **"Abbreviation"** — a short code of up to 8 characters, shown next to the name.
5. Click **"Save"**.

# Adding a region

A region groups locations and optionally belongs to a sector. It is the level you most often assign employees to.

1. Go to the **"Regions"** tab.
2. Click **"Add region"** in the top right corner.
3. Enter the region's **"Name"** (a required field).
4. Optionally give an **"Abbreviation"** (up to 8 characters).
5. Optionally in the **"Sectors"** field choose one sector from the list for the region to belong to. You can clear the field — the region will then have no sector.
6. Click **"Save"**.

|| Remember: You assign a particular location to a region in the location editor, on the [Basic information](https://help.proplanum.com/en/article/basic-location-details-settings-10lwcxo/) page. Here you only define the regions and sectors themselves.

# Why group — inheritance

The main benefit is assigning many locations in one move. When you assign an employee to a region or a sector in the employee editor, they automatically gain access to every location inside it — without ticking them one by one.

| Important: Changing a region's or a sector's assignment affects inheritance. Employees linked to the group gain or lose access to the locations inside it — which is why such a change brings up a confirmation window with the number of employees affected.

To check who is linked to a given group, open the menu (the ⋮ icon) on the region or sector and choose **"People"**. You will see a panel with the **"Active"** and **"Total"** counts and a list of people; you can filter it by role.

# Structure — the tree view

The **"Structure"** tab shows the whole organisation as a tree: from the organisation name, through sectors and regions, down to locations and their positions. It is a fast way to check how the locations are laid out and whether anything has been left out of the grouping.

* You expand and collapse branches by clicking a row.
* The search field above the tree narrows the view to matching names of locations, positions, regions and sectors.
* Locations with no region go into the **"No region"** section — a signal of what is still worth grouping. Unassigned regions simply appear under the **"Regions"** heading.

# Deleting a region or a sector

You delete from the menu (the ⋮ icon) on the chosen region or sector — the **"Delete region"** / **"Delete sector"** option. You confirm the operation by holding down the button.

||| Caution: Deleting a region or a sector is irreversible. The locations and regions themselves are not deleted — they only lose their assignment to the group. Bear in mind, though, that deleting a group changes inheritance: employees linked through that group lose access to those locations.
