# Creating and managing locations

A location in Proplanum is the basic unit around which you plan the schedule, assign employees and settle work time. Depending on how your company works, a location can mean a separate **site** (for example a shop in another town), a **department** (for example within a large facility) or a **production line** (for example in a factory). The number of locations is not limited and adding them carries no extra cost.

You will find the list of locations under **Locations** in the menu on the left (the **ORGANISATION** group). Above the list, besides the **"Locations"** tab, you also have the **"Regions"**, **"Sectors"** and **"Structure"** tabs, which arrange locations into a hierarchy — we describe them in a separate article: [Regions, sectors and the location structure](https://help.proplanum.com/en/article/regions-sectors-and-the-location-structure-7bcf3g/).

|| Remember: New locations can be added and deleted only by the **Organisation Administrator** and the **Advisor**. A **Location Manager** can edit only the locations they have been assigned to.

# Adding a location

You create a new location in a wizard of three steps: basic details, positions and tags, employees. Only the first step is required — you can skip the next two and fill them in later.

1. Open **Locations** in the menu on the left and click **"Add location"** in the top right corner.

2. **Step 1 of 3 — "Basic information".** Enter the location's **"Name"**, an optional **"Location code"** and the address details: **"Country"**, **"Street"**, **"Postal code"**, **"City"** and an optional **"Description"**. Click **"Next"**.

3. **Step 2 — "Add positions and tags".** Turn on **"Use defaults"** to bring over the positions configured in the company settings, or add your own with the **"Add position"** (with a colour choice) and **"Add tag"** buttons. Click **"Next"**.

4. **Step 3 — "Add employees".** You can enter employees' details straight away with the **"Add employee"** button (first name, last name, phone, email) or skip this step and add them later. Finally click **"Save"**.

The new location will appear in the list.

# Managing locations

You manage each row in the list with the actions on its right-hand side. Quick editing is at hand, and the full set of operations opens from the three-dot menu (⋮).

* The **pencil** icon (**"Edit location"**) — opens the editor with the settings panel on the left, grouped into **LOCATION**, **SCHEDULE**, **WORKING TIME** and **TIME TRACKING**. * The ⋮ menu → **"Duplicate location"** — creates a copy of the location together with its settings, positions and shift templates; the details are in [Duplicating a location](https://help.proplanum.com/en/article/duplicating-a-location-1025ijk/).
* The ⋮ menu → **"People"** — shows the employees assigned to the location.
* The ⋮ menu → **"Delete permanently"** — permanently deletes the location; see [Deleting a location](https://help.proplanum.com/en/article/deleting-a-location-dkdrwp/).

||| Caution: **"Delete permanently"** is irreversible — it erases the location together with all its data (schedules, time entries, settings, assigned positions and tags). It has to be confirmed by holding down the **"Hold to delete"** button. You cannot delete a location that is the **main** location of any employees — assign them to another one first.
